Lesson 2 of 6 · Agent Manager 101
Set up the workspace
Lesson summary
An agent reads your workspace the same way a new employee does. If the structure is clear, the agent finds the right page and puts its result in the right place.
Create the folders with New › Folder. Use the parts of your business, not the names of your tools. Five to seven folders are enough.
Add one page for each thing you explain often: the offer, the customer, the prices, the tone of voice.
Upload the files you already have to Drive. Do not retype them. Add a file to the Knowledge Base if agents must search it.
Write ACTVOX.md, the instructions page. Say where each type of result goes, which language to use, and what needs your approval.
Ask one agent to read ACTVOX.md and tell you where it would put a new document. Correct the page if the answer is wrong.
Try it now
Write where a sales proposal belongs in ACTVOX.md. Ask an agent to find that place.

In this lesson, you set up the workspace. Think of it as the office for your agents. If the office is in order, the work is in order. Our example is a small restaurant, Bistro Lumenfeld. Nora, the owner, wants agents to help with menus, offers and suppliers.
Start with folders. A folder is a part of your business. Open the New menu and select Folder. For a small company, five folders are enough: Strategy, Sales, Delivery, Library and Operations.
Do not make a folder for each tool. Tools change. Your business does not change that fast. Next, add pages. Write one page for each thing you explain again and again.
Who is the customer. What you sell. What it costs. How you speak. Put each page in the folder where a new employee would look for it.
Keep each page short. An agent reads the full page each time, so short pages give better work. Then add your files. You already have price lists, contracts and photos. Upload them to Drive.
Do not type them again. One thing is important here. An agent searches a file only after the file is in the Knowledge Base. The price list of the restaurant is a good example. Nora's agents need it for each menu and each offer.
So add the price list to the Knowledge Base. Then an agent can find it without your help. Now the most important page. Its name is ACTVOX. md.
Every connected agent reads this page before it starts. You find it in the Knowledge Base, under Workspace documents. Write three things. First, where each type of result goes. Second, the language and the tone.
Third, the actions that need your approval, for example a message to a customer. Keep the page short. An agent gets only the first six thousand characters. Last, test it.
Ask an agent: where do you put a new sales proposal? In our restaurant, the right answer is: in Sales, under Sales proposals. If the answer is right, the workspace is ready. If the answer is wrong, the page is not clear. Correct it and ask again.
In the next lesson, you connect your agents.
